A Chinese company can exist legally and still issue a poor invitation. A document can also display a real company’s name without being issued by that company. Verification therefore requires two separate questions:
- Is the company legally registered and active?
- Did that company genuinely issue this invitation for this applicant and trip?
Ask for the Chinese business licence
A mainland Chinese business licence normally contains the legal Chinese name and an 18-character Unified Social Credit Code. It also shows key registration information such as the legal representative, registered address and business scope.
Do not rely only on an English trading name. Many companies use English marketing names that are not their registered legal identity.
Check the company in the official registry
China’s National Enterprise Credit Information Publicity System is the official public company-registration system. Search using the legal Chinese name or Unified Social Credit Code. The interface is primarily Chinese and may require local access or language assistance.
Check:
- Registration status
- Exact legal Chinese name
- Unified Social Credit Code
- Legal representative
- Registered address
- Establishment date
- Business scope
- Abnormal-operation or serious-violation notices where displayed
Registration confirms legal existence; it does not guarantee financial strength, product quality or honest behaviour.
Match the licence to the invitation
The ordinary invitation should use the exact legal company name. Compare:
- Company name on letterhead
- Name inside the text
- Name in the red seal
- Name on the business licence
- Name entered in the visa form
A difference caused by translation may be explainable, but the Chinese legal name should remain consistent.
Verify the seal
The official visa guidance says the inviting organization’s seal should be formal and certified, and notes that Chinese company seals are circular. Look for:
- Clear circular seal
- Company name matching the licence
- No obvious pasted or pixelated image
- Seal placed on the final letter rather than a blank template
- Signature and date
A seal image alone is not proof. Contact the company independently.
Confirm the invitation through an independent channel
Do not use only the WhatsApp number provided by the person selling the invitation. Use at least one independent route:
- Official company website contact
- Company email domain
- Canton Fair exhibitor profile
- Alibaba verified supplier profile as a secondary check
- Phone number shown in public company information
- Video call from the registered office or factory
- Existing supplier contact known to the applicant
Ask the company to confirm the applicant’s name, passport number, travel dates and document reference.
Verify the business relationship
A visa invitation should make commercial sense. Prepare evidence such as:
- Product inquiries and quotations
- Previous purchases
- Sample orders
- Meeting agenda
- Factory address
- Canton Fair booth number
- Proposed products and quantities
- Emails discussing the trip
A company that sells chemicals should not invite a clothing retailer for an unexplained electronics trip.
Check the inviter’s authority
The signatory should be the legal representative or an authorized inviter. Ask for the person’s name, position and company email. The official letter should state the signing date and have the formal seal.
Validate contact details
The Visa Centre identifies invalid company contact numbers as a return reason. Call the number. Check the country and area code. Confirm that the person answering recognizes the company and invitation.
Verify TE or Verification Letter claims
If the provider calls the document TE or Verification Letter:
- Ask for the exact official document name.
- Ask which Chinese authority issued or verified it.
- Ask the inviting company to confirm its application.
- Compare document data with the ordinary invitation.
- Do not treat a barcode image as sufficient proof.
Verify Canton Fair invitations separately
A genuine Canton Fair invitation should come from the official Buyer E-Service Tool and be linked to the buyer’s account. The Fair states that invitation application is free. A consultant may charge for assistance, but should not pretend that the official Fair itself sold the invitation.
Payment and supplier-risk checks
Invitation verification should be combined with trade due diligence, especially if the same company wants a deposit:
- Bank beneficiary name matches the contracting company or has a documented reason
- Proforma invoice uses the legal entity
- Product scope matches the licence and factory capability
- Factory video or visit confirms operations
- Samples are inspected
- Contract identifies governing terms and specifications
Do not pay a major product deposit merely because the company helped with a visa invitation.
Red flags
- Refusal to provide the licence
- Only an English company name is available
- Company registration is cancelled or abnormal
- Seal name differs from the licence
- Contact number is invalid
- Signatory uses a free email while claiming a large corporation
- Invitation has no business purpose or relationship
- Agent refuses direct contact with the inviter
- Company asks applicant to provide false occupation or travel details
- Payment beneficiary is an unrelated individual
